How to Share a File
Follow these simple steps to share a file with someone.
Select the file
Navigate to the file you want to share in the file browser.
Open share menu
Right-click on the file and select 'Share' from the context menu.
Enter recipient email
Type the email address of the person you want to share with.
Set permissions
Choose whether they can view only or also edit the document.
Send invitation
Click 'Share' to send an email invitation to the recipient.
Quick Access
You can also access the share menu from the toolbar when a file is open, or use the keyboard shortcut Cmd/Ctrl + Shift + S
Permission Levels
Choose the appropriate access level when sharing files.
View Only
Recipients can view the document but cannot make any changes.
- Read document content
- Copy text (if allowed)
- View in preview mode
- Cannot edit or modify
Edit
Recipients can view and edit the document in real-time.
- Full read access
- Make changes to content
- Real-time collaboration
- Changes sync automatically
Sharing via Email
Email Invitations
When you share a file, the recipient receives an email with a link to access the document. They'll need to sign in or create an AnySlate account to view or edit the shared file.
Email Contents
- Your name and email
- Document title
- Permission level granted
- Direct link to document
Recipient Experience
- Click link in email
- Sign in or create account
- File appears in their shared folder
- Start viewing or editing
Managing Shared Access
After sharing, you can manage access at any time.
View Shared Users
See a list of everyone who has access to your file.
Change Permissions
Upgrade or downgrade access levels for existing collaborators.
Copy Share Link
Generate and copy a direct link to share manually.
Revoke Access
Remove a user's access to the shared file instantly.
Revoking Access
Remove Access Instantly
When you revoke someone's access, they immediately lose the ability to view or edit the file. The file will be removed from their shared folder, and any existing links will stop working for them.
To revoke access:
- 1Right-click the shared file and select 'Manage Sharing'
- 2Find the user you want to remove
- 3Click the remove icon next to their name
- 4Confirm the removal
Important Note
Revoking access does not delete any changes the user may have made while they had edit access. Review the document history if you need to revert changes.
Sharing Tips
Verify email addresses
Double-check email addresses before sharing to ensure the right people have access to your documents.
Start with View Only
When uncertain, share with 'View Only' first. You can always upgrade to edit access later.
Use the dashboard
The Shared Files Dashboard gives you a complete overview of all files you've shared and their permissions.
Regular access reviews
Periodically review who has access to your files and revoke access for people who no longer need it.
